Two measurements determine if a material will be housed in the Stacks, Oversize or Oversize2 location: height and length/depth. Books that are too large to be shelved in a STACKS location fall into two general categories:

  1. OVERSIZE or Folio: OVERSIZE refers to a Sirsi/Unicorn Home Location; Folio is the spine label prefix designation
  2. OVERSIZE2 or Folio2: OVERSIZE2 refers to a Sirsi/Unicorn Home Location; Folio1 is the spine label prefix designation

Stacks, Oversize and Oversize2 dimensions vary by library.

DH Hill and Hunt Libraries

STACKS Dimensions

  • Height or length up to and including 30 cm

OVERSIZE (Folio) Dimensions

  • Height greater than 30 cm up to 41 cm
  • Length greater than 30 cm up to 37 cm

OVERSIZE2 (Folio2) Dimensions

  • Height over 41 cm
  • Length over 37 cm
DH Hill and Hunt OVERSIZE2 Policy

Collection Managers make the determination whether an OVERSIZE2 Hill or Hunt volume will be shelved in the library or in the bookBot. This applies ONLY to DH Hill and Hunt OVERSIZE2 materials.

Monographs
  • At point of cataloging, A&D staff contact appropriate collection manager and request library choice (Hill/Hunt or bookBot)
Serials (bound)

This policy applies only to DH Hill bound serial volumes. All Hunt bound serial volumes are located in the bookBot.

  • At point of binding, if moving a bound serial volume to the bookBot will result in splitting the run between the bookBot and Hill, Preservation staff contact appropriate collection manager and request library choice (Hill or bookBot)

Design Library

STACKS Dimensions

  • Height or length between 11 cm - 40 cm

OVERSIZE (Folio) Dimensions

  • Design library does not use OVERSIZE

OVERSIZE2 (Folio2) Dimensions

  • Height or length over 40 cm

SMALLBOOK Dimensions

  • Height less than 11 cm

NRL

NRL does not use Oversize or Oversize 2. All new books should be added to STACKS regardless of measurements. If processing older materials that meet Hill and Hunt Folio and Folio2 criteria, request clarification from NRL. They may want the items sent directly to Hill or Hunt.

VetMed Library

STACKS Dimensions

  • Height or length up to 30 cm

OVERSIZE (Folio) Dimensions

  • Height or length between 30 cm - 40 cm

OVERSIZE2 (Folio2) Dimensions

  • Height or length over 40 cm

College of Education Media Center (LRL)

CoEMC does not use OVERSIZE as a rule, especially for their Juvenile Fiction Collection. If you need help selecting a Home Location, check with the A&D College of Education Media Center staff liaison.

Bookbot

Bookbot does not use the OVERSIZE or OVERSIZE2 locations to place items. All items can be placed is STACKS regardless of size, and a staff member will determine if the item needs to go in a special area at the time of ingest.

OVERSIZE = Height is over 30 cm. and under 41 cm. and the length is 25 cm. or under.

    • Design does not have an OVERSIZE location. These items go to Design STACKS
    • COEMC (LRL) does not use OVERSIZE as a rule, especially with their Juvenile Fiction Collection. If you are uncertain about the correct HOME LOCATION check with the Liaison for the College of Education Media Center.
    • VetMed:
      • Length/height/width less than 30 cm. = STACKS
      • Length/height/width between 30-40 cm. = OVERSIZE
      • Length/height/width over 40 cm. = OVERSIZE2
  • OVERSIZE2 = Height is over 40 cm. and/or length is over 25 cm.
  • OVERSIZE and OVERSIZE2 are the codes used by Unicorn/Workflows/Sirsi/Symphony. They may be referred to as "Folio" and "Folio 2" other places.
  • Design Library only has a location for books with a spine height less than 11 cm. The location code is SMALLBOOK


    Standard shelving throughout the libraries accommodates books up to 30 cm. in height and have a depth of about 25 cm. Most of the books processed can be accommodated by these shelves.

Books that are too large to be shelved in standard-sized shelving areas fall into two categories:

  1. Oversize (or Folio) books are only slightly too big for standard shelving, and so are shelved in a separate section which accommodates books up to 40 cm. The location code for this area is OVERSIZE in all libraries except Design. Design's general stacks can accommodate books up to 40 cm., so there is no need for an OVERSIZE location.
  2. Oversize 2 (or Folio 2) shelving accommodates books too large for OVERSIZE by laying books flat on wide shelves, this is generally any book over 40 cm. in height.

It's not all about the height

If a book is more than 25 cm. long, it won't fit on standard shelving or OVERSIZE shelving. Any book longer than 25 cm. will need to go into OVERSIZE2

VetMed is the exception: any item with a depth less than 30 cm. is VetMed STACKS. Only items with a depth of 30 cm. or greater are VetMed OVERSIZE.

Design likes to be different

Design library does not have an OVERSIZE location. Their stacks can accommodate books up to 40 cm., so any book that would go in OVERSIZE in any other library can go in STACKS in Design. Over 40 cm. goes in OVERSIZE2, the same as other libraries.

Design does have a section that no other library has: a Small Books area. Any book with a height less than 11 cm. that goes to Design goes in the location SMALLBOOK.
