NOTE: While some of these criteria can apply to serials cataloging, they are written for monographic cataloging. For serials-specific MARC guidance, see Serials Copy Cataloging Criteria.

Also, see MARC Fields to Remove from Copy.

Please check OCLC Bibliographic Formats and Standards for additional information about these fields.

Please see Assigning a Location to General Collection Materials for additional information about selecting the correct location for items cataloged.

Cont, Ills, Indx, & Dates

These fields need to mirror the content of the corresponding variable fields in the record.

X

020 or 024

At least one ISBN or ISBN-13 must match item-in-hand.

X

049

It is now optional for catalogers to enter their initials in 049 to identify their participation in editing a record.  You might wish to exercise this option if, for example, you wish to be able to retrieve items you have recently cataloged. 049 is an indexed field and can be used for retrieval purposes. If you are using this option, please do not erase other people's initials if they are present. Simply add your initials at the end of 049 in a new |x.  A keyword search for your initials can be combined with other record attributes (publisher, "rda" from 040, location, etc.) to pinpoint particular groupings of records.

X

050 or 090

Single, complete call number and/or a complete 050 00.  055 (LC call number assigned by Canadian library) may also be used, except in the case of Canadian literature, where Library Archives Canada uses special extended PS schedules (PS8000+) rather than LC's preferred PR9000+.

X

Multiple/conflicting call number fields, no call number fields, multiple |a’s (usually separate numbers for classed as series vs. classed by topic) in a call number, or PZ call number in a non-LRL record.

X

1xx

Controlled field. Should be present if record is author main entry. No need to check against the authority file.

X

245

Transcription field. Subfields a, b, & c will generally be taken from the title page. If they come from elsewhere on the piece, this will be noted in appropriate 5xx (e.g., “500 -- Cover title.”).

  • Edit if any minor difference is present.
  • If a major difference is present, evaluate the need for a new record based on the other main descriptive fields.

X

250

If edition statement is on item but not in record, and you have no other evidence that you have the wrong record (i.e., all other main descriptive fields match).

X

260
264

  • 264 is not restricted to RDA records only, but don’t add it to AACR2 records with an existing 260. Just accept whichever you get.
  • Subfields ‡a, ‡b, and ‡c should match the piece in hand. Minor variations in publisher name (i.e., “Inc.” or "Co." on the piece, but not in the record) are just fine. Major differences may indicate the need for a different record, examine other descriptive fields to determine.
  • Dates (‡c): record must represent the latest publication date, or copyright date if publication date is not present. If the publication and copyright dates are the same, you don’t need to add a second 260 or 264 for copyright.

X

300

  • Extent (‡a): Differences in paging or number of volumes may indicate a new edition and hence the need for a different record; examine other descriptive fields to determine. If this information is incomplete, use the piece in hand to provide pagination or volume information.
  • Other physical details (‡b): Edit as needed, differences do not indicate the need for a new record.
  • Dimensions (‡c): Height of the item in centimeters. If a paperback copy is in hand, 300‡c will likely be the height for the hard cover. Leave as is if there is a difference. If this information is incomplete, use the piece in hand to provide spine height, rounding up to the nearest centimeter.
  • Accompanying materials (‡e): Add if not present. Refer to OCLC Bib Formats for examples of how to construct the 300‡e.

X

33x

33X fields are acceptable in AACR2 and RDA records. NCSU follows national policy and accepts AACR2 records with 33X fields, but you only need to add them to RDA records if they are not present. ‡a and ‡2 are required. ‡b is not required, but OCLC wants it in WorldCat records, so we will supply it if it is not present. There is an OCLC macro that will create these fields for you. In Connexion, go to Tools > User Tools > Assign and select "Macro", then "OCLC!Add33x", then click "Assign Tool". For basic monographic copy, use the inputs in the screen shot below.

Using these inputs, the 33x fields will always appear as follows.

  336 - - text ‡b txt ‡2 rdacontent
  337 - - unmediated ‡b n ‡2 rdamedia
  338 - - volume ‡b nc ‡2 rdacarrier

X

440/490

  • Transcription field. Should match what is on the piece.
  • There is no need to change 440s to 490s. Automation will catch them.

X

5xx

Minor differences do not indicate the need for a new record.

X

505

  • If present, just eyeball them for any weirdness. Do not check word for word.
  • If not present, do not add. Syndetics should provide it.

X

590

Gift items: Add bookplate note if requested. Copy the text of the bookplate exactly into the 590 and end it with a period.

Bookplate reads:
This book was presented by Joleen McCoy, Trudy Pearl and Ruthie Harris In memory of Irene S. Packagement

Correct 590 for this bookplate:
590 - - This book was presented by Joleen McCoy, Trudy Pearl and Ruthie Harris In memory of Irene S. Packagement.

Incorrect 590 for this bookplate:
590 - - Presented by Joleen McCoy, Trudy Pearl and Ruthie Harris

6xx Ind 2 = 0

If record has at least one Library of Congress subject heading.

X

If no Library of Congress subject headings are present and the title is nonfiction.

X

If no Library of Congress subject headings are present and the title is fiction.

X

6xx Ind 2 = 1
6xx Ind 2 = 2
6xx Ind 2 = 7

  • Retain subject headings with Ind 2 coded as 1 (LC children's heading) or 2 (MeSH=Medical Subject heading).
  • Retain subject headings with Ind 2 coded as 7, if there is also a ‡2 gsafd, ‡2 lcgft, ‡2 nasat or ‡2 rbgenr present in the field.

X

6xx Ind 2 = 4
6xx Ind 2 = 7

Delete all foreign language subject headings, unless the second indicator is 0 (in that case, the heading could be legit LCSH. Feel free to ask if in doubt.)

X

7xx

Controlled field. Should be present if record has editors, co-authors, illustrators, etc. No need to check against the authority file.

X

830

Controlled field. Should be present if record has 490 #1. No need to check against the Sirsi authority file, but do check against the Classed Together Series page on Confluence if series is numbered and you suspect that this has been classed together.

X

856

A monthly Sirsi report should automatically delete any 856s pointing to tables of contents, summaries, and publisher descriptions within the loc.gov domain.  No need to manually delete these.
